Saving Time in the Legal
Profession
A legal service provider is offering a self-help service that allows
users to produce their own legal agreements and documents by following
thorough on-screen guidance (help screens). Rapidocs plays a vital role in 'de-skilling'
the process to reduce the need to spend time with expensive lawyers.
Rapidocs offers an ideal format for distributing compact files via the
Internet, containing everything the user needs. The software assists
the user in completing their documents with minimal fuss, while
ensuring maximum accuracy.
The process can be saved and restarted at any time. For example, if
information is needed which the customer does not readily possess, he
or she may save their work and return to it at a later time. Users have direct
access to lawyers through a unique routing mechanism that enables the
lawyer to review the documents and user details collected using the
system. This results in massive savings in lawyer time as relevant
details are immediately available.
Instant,
Online Insurance Quotes
In this example, an insurance company is using Rapidocs to deliver an
electronic application form to provide an insurance product available
exclusively online. The application process includes a wide range of
validation features to ensure the highest level of integrity of the
system.
A tailored quote is generated using information captured
within the completed application form. The consumer can instantly view
the full, personalized policy documentation through the web browser. A
range of additional documents and services are available once the
policy is taken 'on risk'.
In combination with applying Rapidocs to assist with claims
management, the company is significantly reducing back-office
processes.
Faster
Turnaround of Commercial Documents
In another case, one of the worlds largest companies is using Rapidocs
to improve access to their in-house legal team. Through an Intranet portal, users have immediate
and convenient access to corporate legal information and documents
that are relevant to their role.
Having selected a contract or agreement, the user then enters some
basic contract information so that the legal team can monitor how the
service is being used. This information also helps the legal team
respond to users more rapidly and accurately.
Next, the relevant Rapidocs document is completed within the
web browser. In many cases, the final document is produced, although in
some cases the document must first be referred to the legal team for
approval before it can be issued. As a result of this service, users
now enjoy rapid turnaround of critical commercial agreements,
ensuring that valuable deals can be closed before they go cold.

Small Law Firm Implementation
For a small law firm with limited financial resources,
the easiest way to deliver documents and forms over the web is to use
our
.ASP service (DirectLaw Service).
In this case, the firm does not need to maintain their own web server,
create a web infrastructure, author basic templates, or worry about
system maintenance and support. The firm has the choice of subcontracting the work out to
consultants with specialized skills to develop new templates, or authoring in-house using Rapidocs Solo. Once these new templates have been created, they can be
used on the desk-top or delivered to the hosting service for delivery
through the web as part of the infrastructure that has been originally
designed just for that firm.

Large
Law Firm Example
Utilizing the full document
management and work flow capabilities within Rapidocs Professional.
Well-funded, large law firm
interested in increasing productivity both within the firm and serving
outside clients more effectively. Objective is to integrate document
assembly with telephone advice services and keep track of which
documents are used by which client. The law firm wants the capability of
populating forms with data from the client data base or exporting client
data to case management.
Using Rapidocs Professional and Rapidocs Data
Server, the organization has the capability to meet all of its
requirements:
-
New document templates are authored by subject
matter specialists within the law firm.
-
The templates can be
delivered through the firm's internal network
to the desktop of everyone in the firm. They can also be assembled within the
web browser via the Internet by clients or lawyers within the firm,
wherever they are located.
-
Assembled documents from either environment can
be stored within the Rapidocs document management system by clients and
retrieved by advocates using a username and password.
-
Assembled documents can be reviewed by
the firm's lawyers before being released to clients or to legal
assistants working with pro se clients to help them file the
assembled documents.
-
Document templates are
accessible by everyone
in firm using the Document Store Facility. Completed documents can be
stored within the document store via the Internet. All
documents are secure.
-
Data from client documents can be exported to
the law firm's case management system.
-
Using the Rapidocs Document Management System,
a component of Rapidocs Professional, other web-enabled
document assembly templates from third party vendors, including Word
files and Adobe .pdf files made fillable with Adobe Acrobat only,
may be delivered to the desktop and via the Internet, completing the
total inventory that is available to attorneys and paralegals.
Costs to implement the basic platform, including in-house training for
users and authors, is approximately $35k to $50k, depending on the size
of the firm. (NOTE: the cost of authoring
all individual templates is not included)

The case examples described here are certainly not

assembly can be implemented. Additional articles on this topic can be found at:
